Have you been using the time in the summer holidays to get everything sorted for the toddler group new term, or are you just about to start panicking? Either way, here’s a checklist to help you get everything ready on time…

In September, we often have lots of new visitors to our toddler groups. Of course, you’ll want to make sure you are able to give all newcomers a warm welcome. Here are some ideas…

  • Have you considered preparing a welcome pack? This could include a newsletter, some photos and information about the team, and perhaps a short document that outlines your procedures. If you’re a church group, you could include some information about the church too.
  • Are your notice boards up to date? Photos of the team can help people to know who to go to if they have a problem. A notice saying ‘Welcome’ and reminding people how much you charge can be helpful.
  • If you don’t use them already, how about using name badges? Perhaps for a week or two you could also get everyone to wear stickers with their name on, just while people are settling in.
  • Make sure all your forms are up to date – and that you have enough registration forms and welcome sheets photocopied so that you don’t have to rush off to get new ones in the middle of people arriving! If you normally have your registration form listed by child’s name, one idea is to list by carer’s name – which can help childminders who have several children. It can also help you get to know the adults’ names quicker.
  • It’s often a good idea to have some idea of your programme. If you know what you’re planning for the term, then it’s easier to delegate some of the tasks, such as preparing crafts and stories. You can also put this information in your newsletter, along with any other important dates.
  • How long is it since you went through your equipment? As well as making sure that the toy cupboards are clean and tidy, you will want to get rid of broken ones or ones with bits missing. It’s good to have a regular clean of the toys too, and to wash any soft fabrics. Perhaps someone would be willing to make a new batch of playdough – you'll find a recipe here.
  • If you have plenty of toys, then a toy rota keeps it fresh each week. And could you try something different? Cat litter trays (new ones!) make excellent activity trays, which can be filled with all sorts of interesting materials: sand, cornflakes, ice cubes, shaving foam...
  • Now would also be a good time to check up on your administration. You may want to get outside help to enable you to complete a health and safety check, and to make sure that CRB checks are up to date. Also, check your insurance (many church groups are covered by church insurance – but it’s worth checking!)
  • Finally, if you are a church group, you could give the church an update for their newsletter or magazine, and ask them to pray for the year ahead. Also, make sure your listing on www.netmums.com is correct – and if you’re not on there yet, tell them!
